1.0               Job Summary

The Sales Coordinator is responsible for supporting the sales team in planning, organizing, and executing sales and marketing activities to drive bookings and revenue for the resort. This role involves coordinating between various departments to ensure a seamless guest experience and maintaining strong relationships with clients and vendors.

2.0               Key Responsibilities

  • Sales Support:

    • Assist the Sales Manager with the development and implementation of sales strategies and campaigns.
    • Prepare and distribute sales materials and presentations to potential clients.
    • Schedule and coordinate sales meetings, site visits, and client events.
  • Guest Management:

    • Serve as the main point of contact for prospective and existing guest, addressing inquiries and providing information about resort services and packages.
    • Build and maintain relationships with key clients, travel agents, and corporate accounts.
    • Follow up on leads and inquiries, ensuring timely and effective responses.
  • Booking Coordination:

    • Process and manage reservations, ensuring all details are accurately entered into the booking system.
    • Coordinate group bookings, including room assignments, catering, and special requests.
    • Work with the Front Desk and Housekeeping departments to ensure all guest requirements are met.
  • Administrative Duties:

    • Maintain accurate records of sales activities, guest interactions, and booking details.
    • Prepare reports and summaries of sales performance, client feedback, and market trends.
    • Handle administrative tasks such as scheduling, correspondence, and file management.
  • Event Planning:

    • Assist in organizing and executing promotional events, conferences, and group functions.
    • Coordinate with vendors, kitchen, and other service providers to ensure event success.
    • Oversee event logistics, including setup, on-site coordination, and post-event follow-up.
  • Marketing Support:

    • Collaborate with the marketing team to develop promotional materials and campaigns.
    • Assist in managing social media accounts and online presence.
    • Help organize and attend trade shows and industry events to promote the resort.
  • Customer Service:

    • Provide exceptional service to guests and clients, addressing any issues or concerns promptly.
    • Ensure a high level of guest satisfaction through effective communication and problem-solving.

3.0               Qualifications

Diploma or Bachelor’s degree in Hospitality Management, Business, Marketing, or a related field preferred. Previous experience in sales, marketing, or hospitality is advantageous. Experience in a similar role is a plus. Strong organizational and multitasking abilities. Excellent communication and interpersonal skills. Proficiency in Microsoft Office (Word, Excel, PowerPoint). Ability to work under pressure and meet deadlines. Attention to detail and problem-solving skills.
