Job Description

Key Responsibilities

Payroll Administration

  • Prepare and process monthly payroll accurately and within the stipulated timeline.
  • Verify attendance, overtime, shift allowances, incentives, commissions, deductions, unpaid leave, and other payroll-related data.
  • Ensure salary payments are processed accurately through the bank.
  • Generate and distribute payslips to employees.
  • Maintain payroll records and ensure confidentiality of employee information.

Statutory Compliance

  • Process and submit monthly statutory contributions, including:
    • EPF (KWSP)
    • SOCSO (PERKESO)
    • EIS
    • PCB (Monthly Tax Deduction)
  • Ensure compliance with the Employment Act 1955 and other relevant labour laws.
  • Prepare payroll reports for audits and government authorities when required.

Leave & Attendance Management

  • Monitor employee attendance, leave records, public holidays, and rest days.
  • Verify attendance records from the time attendance system.
  • Investigate attendance discrepancies and coordinate with department heads for clarification.

Employee Records

  • Maintain accurate employee payroll files and personal records.
  • Update salary adjustments, promotions, transfers, resignations, confirmations, and new hires in the HRIS.
  • Ensure all payroll documentation is properly filed and updated.

Benefits Administration

  • Administer salary increments, bonuses, allowances, and incentive payments.
  • Process final salary payments for resigned employees.
  • Assist with insurance, medical claims, and other employee benefits related to payroll.

Reporting

  • Prepare monthly payroll reports and management summaries.
  • Generate manpower cost reports.
  • Assist in annual budgeting and payroll forecasting.
  • Prepare payroll analysis and reconciliation reports.

Employee Support

  • Respond to employee enquiries regarding salary, deductions, leave balances, and statutory contributions.
  • Resolve payroll discrepancies promptly.
  • Provide guidance on payroll policies and procedures.

HR Support

  • Assist in recruitment, onboarding, and orientation when required.
  • Support HR activities such as performance appraisal, employee engagement, training, and disciplinary matters.
  • Perform other HR administrative duties assigned by the Human Resources Manager.
