Job Description

The Event Coordination Executive / Event Coordinator provides essential administrative and operational support throughout all event stages, including pre-event preparation, onsite coordination, and post-event processes. The role ensures timely and accurate documentation, smooth logistical planning, proactive customer engagement, and adherence to the Centre’s policies, legal requirements, and BMS standards. Operating in a dynamic, client-facing environment, the role contributes to delivering seamless, safe, and professional event experiences.

B. Responsibilities
1. Event Planning & Documentation
• Plans daily event coordination activities, including scheduling customer meetings
and maintaining Event Sheets and Service Orders.
• Prepares, updates, and distributes accurate Event Sheets, operational documents,
and communications to relevant departments.
• Coordinates move-in/move-out schedules, build-up/teardown timelines, and other
pre-event logistical requirements.
2. Operational Coordination & Onsite Support
• Conducts customer and contractor meetings, room inspections, and event
briefings.
• Coordinates the setup of event spaces, ensuring compliance with requirements
such as housekeeping, security, technical support, and catering.
• Manages event logistics and visitor flow, including VIP movement and crowd
management considerations.
3. Interdepartmental & Supplier Coordination
• Liaises with internal teams (Asset, Security, Catering, Culinary, Operations) to
ensure timely delivery of event services.
• Communicates changes, risks, and operational requirements to internal and
external stakeholders for smooth event delivery.
• Coordinates pre-ordered services and ensures service readiness across
departments.
