Job Description

Main Duties

Implementation of Standards

  1. Follows all Hyatt Events Standards when assisting Executives and Associate Directors to prepare proposals and contracts, providing administrative support and creating internal Event Confirmations.
  2. Fully and correctly uses Envision.
  3. Maintains complete records of all Letters of Agreement and quotes for the hotel as per Hyatt’s Policies & Procedures.


Customer Service

  1. Provides courteous and professional service to our internal customers in other departments.
  2. Develops Event Confirmations creation skills by preparing Event Confirmations for internal functions and menu tastings.


Supporting Executives, Managers and Associate Directors

  1. Provides administrative support for Executives and Associate Directors, including but not limited to creating proposals and contracts after receiving an Envision activity and typing up menus, place cards and table plans.
  2. Handles Event Confirmation and Change Log distribution.


Sales and Marketing

  1. Fully utilises the correct photography and presentation materials when preparing all forms of client presentations.



  1. Takes responsibility for your own learning and development.
  2. Completes your initial Personal Learning Plan and take advantage of the numerous learning and development opportunities that are available within Hyatt.
  3. Invests in your own appreciation of taste and style by extensive reading and exposure to trends with other luxury brands and services.
  4. Takes responsibility for increasing your knowledge of all aspects of our food and beverage product and service.


Other Duties

  1. Ensures high standards of personal presentation and grooming.
  2. Exercises responsible behaviour at all times and positively representing the hotel management team and Hyatt International.
  3. Responds to changes in the Events function as dictated by the industry, company and hotel.
  4. Reads the hotel's Associate Guide and have an understanding of and adhere to the hotel's rules and regulations and in particular, the policies and procedures relating to fire, hygiene, health and safety.
  5. Attends learning sessions and meetings as and when required.
  6. Carries out any other reasonable duties and responsibilities as assigned.
