Job Purpose
- Conduct FAM. tours requested by prospective clients and recommend venues, up selling F&B requirements at optimum profit margin by controlled cost.
- Collate accurate information from client’s file and translate into a detailed Event Order and adequate equipment and suitable venue for each function.
- Hold a coordination meeting with the client in order to finalise the details for a successful occasion.
- Must be available to welcome the guest upon checking and confirm the event details with the guest / event organizer / tour agents.
Primary Duties and Responsibilities
- Responsible for updating the Banquet Reservation Book.
- Conduct FAM. tours requested by prospective clients.
- Recommend venues, up selling F&B requirements at optimum profit margin by controlled cost.
- Collate accurate information from client’s file and translate into a detailed Event Order adequate equipment and suitable venue for each function.
- Ensure correct distribution to all departmental personnel involved.
- Confirm the method of payment either by cash, local order, credit card, company cheque or letter of undertaking with approval from Hotel Financial Controller.
- Hold a coordination meeting with the client in order to finalise the details for a successful occasion.
- Coordinate the latest catering changes as and when requested by the guest.
- Conduct pre-inspection before each event to ensure that all requirements and arrangement is according to the Event Order.
- Evaluate/investigate and implement corrective measures for any complaint to the best of ability and to inform the immediate superior.
- Obtain comments and testimonials from guest in order to improve and secure future business by showing the evidence to prospects.
- Work closely with Banquet, Accounts and Sales Team to ensure smooth running of the event.
- Clear and precise communication as well with all relevant department of the hotel.
- Perform any task assigned by DOSM concerning any event at the hotel.
- Special assignment of projects (Blitz, Bridal Fairs & etc).
- Complete knowledge of all set up, theme parties, menu selection and contact number for accessories.
- Suppliers, performers, musicians and other special request by client.
- Organised time management and all business attended to Build & Maintain good relationship
- Maintain up-to-date good working relationship with all departments of the hotel.
- Attend walk-in guests as and when is required.
- Adherence to process in place and attends special sales promotions which are organized by Sales Department or the hotel.
- Implement plans and new ideas for the benefit of the hotel.
- Employees are kept at a constant high level of motivation through relevant guidance, freedom and authority within the established parameters set by the Director of Sales and DS & Marketing.
- Directing supporting Sales Team in promptly qualifies all sales leads. Responds within 24 hours to all enquiries, leads and correspondences from prospects, customer
- Any other duties and responsibilities as needed and when required.
Requirements
- Preferable to have a Diploma from an accredited university in Hospitality Management.
- 2-4 years working experience in the hospitality industry, preferably in the Sales & Marketing Department.
